Confirm that a repeat order is really identical
Reordering a V1 injection pen should begin with the approved product record, not only the previous invoice. The last shipment may have included a temporary deviation, a special packaging arrangement or a configuration that has since changed.
Identify the selected V1 model, specification revision, artwork and packaging version. Review previous approvals and open issues before describing the new order as the same as last time. Ask PLZ to confirm whether the requested configuration remains available on the proposed terms.
Plan demand by actual order variant
Separate requirements by color, logo, packaging version or other stock-keeping unit. A total demand forecast can hide a shortage in one variant and excess stock in another. Use actual consumption and committed requirements as the starting point, with assumptions clearly labeled.
For each variant, record usable stock, committed quantities, open inbound orders and the next required delivery date. Keep estimates separate from confirmed purchase commitments. The supplier should understand which quantities are a forecast and which are a firm order.
Review whether variants have separate minimum quantities or production constraints. Do not assume that several small requirements can always be combined into one standard production batch.
Refresh the timing and commercial assumptions
Request current production and packing lead-time information rather than relying indefinitely on the first order. Confirm which approvals or materials must be ready before the proposed timing can begin.
Plan the interval between order release and usable stock at the warehouse. This includes the activities relevant to your project, such as production, agreed inspection, packing, transport and receiving checks. Keep uncertain intervals visible rather than presenting an estimated arrival as guaranteed.
If a shortage is expected, discuss the options with PLZ before changing the configuration. A substitute color or packaging arrangement should be reviewed and approved through the same document controls used for other order changes.
Retain a clear replenishment history
Keep order references, quantities by variant, controlling revisions, agreed dates and actual receipt information in one record. Review discrepancies and delays for their specific causes instead of automatically adding the same buffer to every future order.
When the new order is confirmed, update open-order quantities and communicate the agreed variant breakdown to receiving staff. Maintain links to inspection outcomes so that a delivered quantity is not confused with released stock.
